Heart and Hand Ministries (HNH) is a 501(c)3 nonprofit organization founded in 1997 and located in the Belton-Raymore area to provide support and service for individuals and families experiencing poverty in Cass County and parts of south Jackson County. Mission Statement: We exist to come alongside people experiencing poverty and provide critical services and support to instill hope, encourage agency, and give people tools to build flourishing lives.

ROLE:  Manager of Food Services Program

Section 1: Overview and Scope of Position

Position Overview:
We are seeking a talented and dedicated Food Services Program Manager to join our team to oversee the scope of our Food Pantry programs that address the growing plight of food-insecurity by providing clients access to shop our on-site food pantry once a month, use of two mobile pantries, occasional nutrition and cooking courses, as well as utilize our client services for a full scope of wrap-around services.

This position requires an experienced manager with a strong combination of skills in in program management, leadership skills, logistics and planning, customer service, administration, and relational intelligence. 

The ideal candidate will be able to draw on successful past experiences, implement the existing operating procedures, and lead the program forward as the need arises to adapt to changes in the client landscape and best practices in addressing food-insecurity. In addition, they should possess a holistic approach to help clients receive the full scope of our wrap-around services.

Section 2: Qualifications 

Minimum of 2 years’ experience running a program or department that is client or customer-facing, involves the purchasing and management of inventory, or equivalent function, and managing direct reports; ideally with a vulnerable population group AND at least an associates degree, if not a college degree.
OR
Minimum of 4 years of running a program or department that is client or customer-facing, involves the purchasing and management of inventory, or equivalent function, and managing direct reports, ideally with a vulnerable population group AND at least a high-school degree.

Demonstrated knowledge of program management skills, strong leadership abilities, Good interpersonal skills, Excellent logistical management skills, robust administrative skills, Client focused, High relational intelligence

Must be proficient in Google Suite (Drive, Calendar, Forms, Docs, etc.) Microsoft 365 (esp. Word & Excel) and will have to utilize numerous other software programs.

Section 3: Responsibilities and Duties

Program Management Skills:

Demonstrated knowledge of program management including planning and development, system building with understanding of input/outputs, direct/indirect consequences, building feedback loops, etc.

Excellent leadership abilities including strong communication skills, vision casting, motivating people, identifying needs, implementing creative solutions, and performance under pressure.

Strong interpersonal skills that include the ability to train, motivate, and maintain volunteers who comprise the majority of the workforce in this department. This includes partnership with organizations that lead food-drives.

Excellent logistical skills including planning, organization, ordering, budgeting, inventory systems, and the ability to take complex problems and create clear solutions.

This role requires strong administrative skills including carefully maintaining records – both physically and digitally –  and proficiency in learning web-based software. (The Food Pantry is currently implementing a food-service software required from primary food-services partnership.)

High relational intelligence attuned to the needs of others and committed to contributing toward a healthy organizational culture that is open with others, honest about needs, practices direct communication, and operates in kindness

Client-focused approach, able to build rapport with clients and exercise sensitivity to diversity of backgrounds and needs.

Food Orders and Inventory:

Place regular orders to Harvesters and other vendors in a specific timeframe to ensure access to specific regimen and quality of food products.

Receive deliveries, shipments, and donations (both from individual and food drives) and organize products to be stocked in shelves, freezers, cooler, stock room and other storage areas.

Maintain inventory of products in the Food Store along with quantities & keep regular update of inventory numbers and purchasing needs

Food Pantry Operations:

Lead the food pantry shopping sessions (currently Tues. 3pm-6pm & Fri. 9am-12pm), ensuring that shifts run smoothly as you and volunteers check in clients and assist them in 15 min. shopping sessions in the store.

Be point of contact for clients in distress, going through crisis, etc. and provide empathy as well as connection to services in other departments.

Be direct point of contact with both volunteer leaders of mobile pantries that operate once a month.

Plan for future expansion of food services (Potential deliveries, extended hours, adding regular classes in nutrition and cooking on a budget).

Volunteer Leadership and Food Drives: 

Lead, assist, inspire, and maintain relationships with all volunteers

Perform training for new volunteers and work with Volunteer Manager to recruit volunteers to stay at optimal levels.

Oversees all annual food drives as the main point of contact and receive deliveries, occasionally on Saturdays.
Work on creating new community partnerships to increase donations and support the pantry

Manage Box truck drivers to ensure regular pickups are made.

Records and Documentation

Maintain detailed reports according to Harvester’s standards in both print and digital records for all food pantry programs (on-site and mobile pantries). Ensure data is entered properly and prepare for regular audits of procedures by Harvesters rep.

Keeps statistical data and reports of our food pantry services to be utilized in data sharing with donors, stakeholders, and grants

Maintain rigorous food safety standards and the distribution of food within set timeframe. You will have to secure and maintain a food handlers safety card.

Other Duties:

Maintain the order and cleanliness of Food Pantry program space, both in the store and supply rooms (on both floors).

Help organize & secure teachers for courses in general nutrition, cooking on a budget, diabetes care, and other courses on a schedule to be developed. 

Keep all freezers and coolers operating efficiently, at the right temperature, and perform simple troubleshooting or engage Director of Operations for needed repairs

Educate clients about client services available to them: housing assistance, case management, transportation program, SNAPS and other benefit enrollment, clothing vouchers, and emerging mental health services.

Section 5: Working Conditions and Physical Efforts

Regular hours Monday-Friday, 9:0am –5:00pm (withs some flexibility) at our program center building with some opportunity to work from home on occasion.

Position will require lifting and placing items on shelve much of the day. A good amount of time will be spent on your feet. Must be able to lift up to 40 lbs. (Volunteers and other staff can assist with this, particularly heavier objects)


Much of the work is typically performed in an interior temperature-controlled office work environment.

Section 6: Compensation
This is a FT position at 40 hours per week.

Salary Range: Dependent on Qualifications and Experience

PTO: 3 weeks/year, 10+ Paid Holidays, Health benefits in development but not yet in place. Opportunity for advancement, annual cost-of-living increases, and performance based pay increases.
