The Accounting Specialist is responsible for assisting and maintaining the financial integrity and management of The Farmer’s House accounting records under the direction of the Accounting Director, Executive Director and the Board Treasurer.
Responsible for all accounts payable functions and timely payment of all bills.
Perform monthly Bank Reconciliations. Assist the Accounting Director with creating monthly financial reports, including variance reports. Prepare and upload departmental reports for ongoing leadership team budget analysis.
Review payroll reports with payroll provider biweekly ensuring staff members are paid correctly, all timesheets are in, allocations and benefits are accurate. Prepare journal entries in Quickbooks using the allocation report. Remit pre-tax contributions and company match for Salary Deferral participants and prepare journals.
Final review and entry of staff coding (according to budget) to credit card statements and enter into Quickbooks.
Using Therap documentation, process CIMOR Billing and invoice payments for client CIMOR Medicaid payments. Prepare internal reports and notifications regarding client budget usage to the Accounting and Medicaid Director.
Prepare and send monthly invoices for client private pay and incidental billing.
Review donation allocation entries for Facebook, PayPal and Classy Donations in Quickbooks. Work with the Administration Assistant to balance QBO with Salesforce. Insure donations are classified according to the Agency budget.
Perform monthly cash register audits to entries in Quickbooks. Manage cash bags and make change for the markets.
Create invoices in Quickbooks for Catering, Grants and Special Sales. Monitor and send out Accounts Receivable Aging notices.
Calculate, remit payment and prepare journals for state sales tax.
Upload and audit sales deposits from Lightspeed into Quickbooks. Identify and analyze significant discrepancies utilizing the POS system for retail staff training. Perform a monthly reconciliation between Lightspeed sales and Quickbooks.
Grant accounting and project management, working with designated staff to insure accurate Quickbooks entries and purchases. Provide budget reports to the Fund Development Director.
Ensure that filing is kept current and organized and projects and grant copies supporting documentation are filed appropriately.
Business licensure, payment and posting in our markets.
Assist with annual budget preparation including data entry into Quickbooks.
Assist with the annual Agency audit.
Deliver Market bank deposits to the local bank. Manage, transfer and allocate funds for the PayPal account from ECom purchases. Review Square account and code deposits.
Assist with special projects.
Must have a minimum of 2 years of Quickbooks or comparable system experience, accounts payable and payroll.
Must pass Confidentiality, E-Verify, Family Registry, a credit check and any other training required by the Accounting Director.
Communication Proficiency, both oral and written.
Microsoft Office Products including Excel and Word or proficiency in Google documents.
Must have completed requirements for a high school diploma or GED and provide a sealed copy to be kept in permanent employee file.
Associate Degree, Accounting preferred.
Must be at least 18 years of age.
Associate Degree in Business or Accounting.
A minimum of 2 years of experience using Quickbooks.

This job operates in a professional environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, a POS system, and a variety of credit card processing systems.
This position requires extended periods of walking and standing with extended periods of sitting depending on the needs and activities. It may require light to heavy lifting and occasional stooping, kneeling, bending, and/or climbing stairs again depending on the needs of the program. The position requires working indoors and outdoors in a variety of seasonal conditions; heat, cold, snow, rain, etc. Other working conditions include an Office with noises from those we support, appliances, and telephones. Natural environmental conditions in a farm, market, and commercial kitchen setting.
Position Type/Expected Hours of Work
Occasional evening and weekend work may be required as job duties demand, such as the attendance at major fundraising events, pop-up markets or in our markets.
This is a part-time position with up to 29 hours per week, located at our offices in Platte City.
The Accounting Specialist may be required to travel between all locations.
