General Requirements
· Works 20-25 hours per week.
· Flexible schedule depending on workload: Tues-Fri, Sunday.
· Works cooperatively and collaboratively with ministerial team and volunteers.
· Proficiency with databases, Microsoft Office.
Key Responsibilities
1. Weekly Services & Communications
• Prepare and distribute Weekly Order of Service and Platform Announcements (print, email, and Sunday distribution).
• Upload service media and documents to appropriate digital folders.
• Manage incoming calls, voicemails, mail, and related postage.
• Maintain and update the church calendar (Outlook and website).
2. Visitor & Attendance Coordination
• Update and maintain the Master Attendance document for Sunday services.
• Track and document first-time visitors, forwarding contact info for follow-up.
• Create and maintain name tags.
3. Event & Hospitality Support
• Coordinate enrollment for classes and events, including sign-up sheets and flyers.
• Manage event rosters and participant data in Breeze.
• Maintain and restock hospitality supplies weekly; prepare and organize event materials.
4. Office Administration & Volunteer Support
• Manage office files and records, including Breeze profiles, tags, and non-financial reports.
• Order and track materials for ministry programs (Youth & Family, adult education, workshops, services).
• Manage Plexpod room reservations and entry-fob inventory.
5. Virtual Support
• Schedule and manage Zoom meetings for staff, groups, and ministry events.
• Update training materials (e.g., Prayer Chaplain manuals) and track monthly statistics.
6. Errands & Supplies
• Run necessary errands (storage, supply runs, food pickups).
• Monitor and maintain office, hospitality, and event supply levels.
Other Responsibilities
· Reports to Senior Minister.
· Complete periodic miscellaneous reports and projects as required.
· Attends weekly staff meetings as required.
Position Requirements
· High school diploma required; business school or college coursework preferred.
· Two or more years of experience in office administration.
· Strong oral and written communication skills.
· Proficiency with databases, Microsoft Office, and email platforms.
· Ability to work independently, prioritize tasks, and exercise sound judgment.
· Demonstrated initiative, flexibility, and ability to work well with diverse personalities.
· Light lifting and physical flexibility required (setting up tables, moving equipment).

Compensation & Benefits
