PURPOSE OF POSITION:
This is a crucial role in ensuring the smooth functioning of the Kansas City Community Land Trust ("KCCLT") by managing administrative tasks, facilitating effective communication, and coordinating executive-level activities. The ideal candidate will be self-driven, assertive, and possess excellent time management skills, coupled with significant experience in coordinating all aspects of board meetings. This role will support the Executive Director in his day-to-day logistics and administration. The Executive Assistant will perform diverse duties that require a high level of initiative, attention to detail, and confidentiality. The ideal candidate is a self-starter able to manage a backlog of requests in a timely manner.
ESSENTIAL FUNCTIONS:
- Manage Executive Director’s calendars, scheduling meetings, appointments, travel arrangements, and ensuring time-sensitive information is communicated effectively
- Anticipate and proactively address the needs of the Executive Director, providing resourceful solutions and ensuring smooth daily operations
- Organize and manage internal and external meetings, including preparing agendas and distributing materials
- Screen and manage incoming calls, emails, and inquiries, directing them to appropriate staff and ensuring timely responses
- Coordinate travel arrangements, including booking flights, hotels, and transportation, and manage expense reports
- Managing administrative filings and deadlines (local, state, federal)
- Perform other administrative duties as assigned by the Executive Director
QUALIFICATIONS AND SKILLS:
- Proven experience as an administrative assistant or executive assistant supporting C-level executives.
- The position requires maintaining the highest level of discretion and confidentiality.
- Ability to work independently; demonstrating accuracy, reliability, and problem-solving skills.
- Strong organizational and multitasking abilities, with exceptional attention to detail.
- Excellent written and verbal communication skills, with the ability to interact professionally at all levels.
- Computer skills to include, but are not limited to: Asana, Google Drive, Google Sheets, Google Docs, Canva, Dropbox, Zoom, Microsoft Office Suite (Word, Excel, Publisher, etc.)
- Discretion and confidentiality in handling sensitive information.
- Ability to work independently and prioritize tasks in a fast-paced environment.
- Experience in real estate and/or business transactions, event planning and budget management is desirable.
- Positive attitude with a solutions-oriented outlook
