Purpose
The Database and Stewardship Manager is part of the 10-member Development Team, which raises $3.5 million annually in charitable support of the agency’s mission of partnering for safe and healthy communities, through public support, charitable grants, legacy giving and special events.
This position is contained within the larger Advancement Team for the agency, whose charge is to fuel the engine to drive and advance Cornerstones of Care’s mission through revenue growth, program partnerships, volunteer engagement, community collaboration, advocacy, brand management, strategic communication, fundraising, special events and charitable/government grants, with an intentional welcoming, inclusive, diverse and equitable lens.
This role serves as a champion of donor information, ensuring the accuracy, integrity, and effective management of data within Blackbaud software. The Database and Stewardship Manager will oversee and execute all necessary tasks related to donor data, including preparation, entry, verification, editing, gift receipting and acknowledgement, report pulling and data trend analysis, while maintaining a commitment to best practices and data excellence.
Sanctuary Model
Cornerstones of Care is committed to the Sanctuary Model, a comprehensive trauma-informed method for creating change and helping individuals heal from traumatic experiences. It is a whole system approach built around the framework of SELF (Safety, Emotional Management, Loss, and Future). It is designed to facilitate the development of structures, processes, and behaviors on the part of staff, children, and the community that can counteract the physical and psychological wounds suffered by the children, youth, and families in our care. The ultimate outcome of a trauma informed philosophy is the creation of safe, therapeutic living and working environments for our clients, families, agency members and ancillary providers which espouse the proactive principles of growth, change, and empowerment of the individual for the betterment of the community. Each team member has the responsibility to demonstrate the tenets of the Sanctuary Model in their work with clients and in their interaction with other team members. Demonstrating these tenets is considered an essential responsibility for all staff in all positions in our company.
Essential Responsibilities
Database Administration & Management
- Serves as the lead administrator, internal specialist, and first point of contact for Blackbaud’s Raiser’s Edge NXT and related systems.
- Manage and implement all gift, constituent, and other data entry for Raiser’s Edge.
- Manages ongoing maintenance of NXT, including oversight of One Cause and other systems/tools supporting the organization's fundraising efforts through special events and auctions.
- Enforce best practices for entering and extracting data from NXT.
- Resolve problems and inconsistencies with data; complete global imports, updates, and changes when needed.
Data Integration & Collaboration
- Actively work with the finance team to ensure appropriate integration and communication between Raiser’s Edge and Financial Edge for revenue reporting and gift receipting.
Data Reporting & Analysis
- Execute data reporting tasks, including fulfilling or assigning data requests, writing and designing custom reports, and creating custom lists with precision – including segmented appeals, special event invitations, direct mail lists and targeted audiences.
- Create and maintain Raiser’s Edge Queries/Exports to satisfy internal metrics and data needs.
Donor Support & Engagement
- Support the Public Support team by proactively researching donor prospect information to support specific initiatives.
- Support the Special Event team through mailing list management, registration support and post-event gift processing through auction platform integrity and data transfer.
- Generate thank-you and honor/memorial letters and pledge reminders for gift acknowledgement and special stewardship efforts.
Technical Proficiency & Tools
- Strong proficiency with a relational, fundraising database/CRM, including Blackbaud Raiser’s Edge.
- Analytical and fact-based problem solver with high proficiency in digital tools like Excel, Teams, SharePoint, Outlook, Word, and PowerPoint.
Leadership & Workflow Management
- Strong team management and leadership skills.
- Proven ability to clearly communicate, coordinate, delegate, prioritize, lead, multitask, organize, track, and problem-solve in a fast-paced environment.
- Ability to organize and prioritize workflow with a high attention to detail.
- Ability to think strategically, work independently, and collaborate with teams.
- As needed, offer support to other Public Support Team duties, including volunteer management, gift in kind drives and special event staffing.
Required Knowledge
- Proficient with donor database software, Blackbaud and Raiser’s Edge preferred.
- Provide computer support to database users and act as liaison to the Raiser’s Edge support team and Cornerstones of Care IT team.
- Basic understanding of finance/accounting systems and donation tracking polices and principles.
Required Skills or Abilities
- Extremely detail-oriented and accountable, and posses a high level of professionalism and discretion.
- Enter donations accurately and timely and print donor-centric thank-you letters.
- Maintain integrity and confidentiality of donor information.
- Produce reports routinely or upon request.
- Support Development, Finance and Administration teams as needed (i.e. audit report requests, etc.).
- Comfortable working directly with population served by Cornerstones of Care.
- Must be able to lift items weighing over 15 pounds on occasion or seek assistance with lifting items from management, staff or volunteers.
Minimum Requirements
Education Level: Associates degree or 3 to 5 years’ direct experience in database management and/or in non-profit development preferred.
In addition to the above requirements, incumbent must:
- Complete Sanctuary training in a timely manner;
- Have a valid driver’s license and proof of current vehicle insurance;
- Follow all agency policies;
- Be able to pass state abuse, neglect, and criminal background checks;
- Be able to carry out the essential functions of the position with, or without, accommodation.
