Grants Specialist

The Grants Specialist will play a key role in securing funding to advance the Library’s mission and programs. This position is dedicated to identifying and pursuing grant opportunities, fostering relationships with funders, and ensuring the Library has the resources needed to thrive and meet its strategic goals.  

 

KEY ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS 

  1. Research and Identification: Conduct thorough research using Instrumentl and other resources to identify potential grant opportunities that align with the Library’s mission and programs. 
  2. Proposal Development: Prepare, edit, and compile comprehensive grant proposals, ensuring all necessary attachments are included and proposals meet funder guidelines. 
  3. Collaboration and Data Gathering: Work closely with internal departments and external partners to gather relevant information and data required for grant proposals and reports. 
  4. Grant Calendar Management: Maintain and update a detailed grant calendar to track deadlines, submissions, and reporting requirements. 
  5. Budget Preparation: Assist in the development and preparation of grant budgets, ensuring accuracy and alignment with project needs. 
  6. Funder Communication: Attend community meetings with funders and external partners alongside the Director of Grants Management to foster relationships and communicate the Library’s needs and goals. 
  7. Other Duties: Perform other duties as assigned or requested to support the overall operations and objectives of the Library.

Requirements

EDUCATION AND EXPERIENCE 

Required 

  • Bachelor’s degree required, preferably in communications, journalism, creative writing, technical writing, marketing, nonprofit management, and public administration. 
  • 3-5 years of relevant experience in grant coordination or management. 
  • Proven grant writing experience, with hands-on experience in preparing successful grant proposals. 
  • Strong research skills, with experience in identifying funding sources, conducting prospect research, wealth screening, and data analysis. 
  • Thorough understanding of applicable local, state, and federal regulations and reporting requirements. 
  • Strong project management skills, with experience in prioritizing time and resources, tracking, and meeting deadlines. 
  • Ability to interpret financial data and prepare budgets and financial grant reports. 
  • Working knowledge of MS office products, including proficiency in Microsoft Outlook, Teams, Word, and Excel.   

Desirable 

  1. Experience working in development or advancement roles. 
  2. Salesforce CRM familiarity. 
  3. Post-award grant support. 
  4. Experience working on federal funding opportunities.

Professional Writing: Produces high-quality content suitable for professional outlets and external audiences. Crafts well-researched, accurate, and engaging work that adheres to specific style guides. 

Resource Management Maintains, schedules, and allocates resources (such as staff, materials, or equipment) for projects and business-as-usual activities. Balances available resources effectively to achieve project goals and overall operations. 

Collaboration Works seamlessly with colleagues across functions and levels. Shares information, seeks input, and leverages diverse perspectives and expertise. 

Adaptability Exhibits the capacity to modify and adjust work methods in response to evolving circumstances or shifting demands. Remains open-minded, embraces change, and proactively seeks innovative solutions to new challenges. 

Diplomacy Manages relationships and conflicts effectively, tactfully, and respectfully. Navigates and orchestrates interpersonal relationships with grace and understanding. Seeks different perspectives when making decisions. 

Discretion: Demonstrates the ability to handle sensitive situations or privileged information with tact and confidentiality. Exercises sound judgment in safeguarding sensitive data, maintaining privacy, and making informed decisions while respecting boundaries and protocols. 

Detail-Orientation: Diligently attends to details and pursues quality in accomplishing tasks. Manages, organizes and maintains information or data meticulously to ensure accuracy and completeness. Recognizes and addresses details that are critical to achieving operational efficiency and effectiveness. 

Time Management: Efficiently allocates time to appropriate tasks, balances competing priorities, meeting deadlines, and optimizing productivity. 

 

TRAVEL REQUIREMENTS  

Rarely (0-10%): 

  • Attending occasional local conferences or workshops. 
  • Visiting nearby partner organizations or institutions for meetings.
  • Potential to travel occasionally to engage with major donors, corporate sponsors, and foundations, and to attend community events for promoting fundraising campaigns and building relationships.

WORK CONDITIONS 

This position is based in a traditional office environment with the flexibility of up to one remote workday per week. Evening and weekend work is required intermittently.
