RESPONSIBILITIES
 
The Project Support (Temporary) role provides essential coordination and logistical support to the FastTrac and 1 Million Cups (1MC) teams in preparation for and execution of the 2026 FastTrac + 1MC Summit. This position plays a vital role in managing event logistics, coordinating with vendors and partners, and ensuring smooth execution of key program and operational activities. Working closely with the Operations Analyst and program teams, this role helps deliver an engaging, well-organized, and impactful Summit experience for all participants.
 
Specific Responsibilities Include:

Pre-Event Preparation
  • Track completion of assigned Summit tasks and update project trackers and dashboards as directed by the Operations Analyst.
  • Monitor vendor contracts, deposits, and deadlines to ensure timely and accurate execution.
  • Work with the Operations Analyst and Strategic Communications team to support vendor communication by sending reminders, following up on deliverables, and responding to basic inquiries.
  • Work with Strategic Communications team to assist in the production of event materials such as signage, name badges, programs, and participant giveaways.
  • Track and report registration data in real time, including attendance, hotel bookings, dietary needs, and accessibility accommodations.
  • Support the identification and coordination of the off-site evening reception location, including logistics and vendor engagement.
  • Assist in the design and coordination of event activities that promote engagement, networking, and learning among attendees.
  • Coordinate packing, labeling, and shipment of Summit materials and supplies.
  • Work with the Operations Analyst to coordinate agenda curation and drafting, ensuring alignment with event goals, session objectives, and speaker flow.
  • Assist in drafting a detailed run of show that outlines timing, logistics, transitions, and key moments throughout the Summit.
  • Prepare monthly progress reports in partnership with the Operations Analyst to keep key stakeholders, including the Executive Director, updated on Summit planning milestones, challenges, and next steps.
 
During Event Execution
  • Manage on-site registration and check-in, ensuring a smooth, welcoming experience for all attendees.
  • Monitor event flow and assist in resolving minor logistical or technical issues in real time.
  • Support speakers, facilitators, and VIP guests with logistics, including timing, transportation, and hospitality needs.
  • Provide on-the-ground support for all event activities, including receptions, workshops, and networking sessions.
  • Respond promptly to last-minute requests and assist the Operations Manager in maintaining event readiness throughout the Summit.
 
Post-Event Activities
  • Document key issues, resolutions, and lessons learned to inform planning for future events.
  • Oversee packing, shipping, and return of rented or borrowed equipment and materials.
  • Support the collection and analysis of post-event surveys and feedback summaries to assess impact and identify opportunities for improvement.
 
EDUCATION AND EXPERIENCE
 
Education: Associate’s or Bachelor’s degree preferred, or an equivalent combination of education and/or experience demonstrating competencies in event coordination, project management, or operations support.
 
Work Experience: At least 2 years of experience in event coordination, project administration, or operations support. Experience supporting large-scale conferences, summits, or multi-day events preferred.
 
Duration: This is a temporary position supporting planning, execution, and follow-up for the 2026 FastTrac + 1MC Summit from January 2026 to September 2026. The Summit is a three day event at the end of July 2026.
 
Travel: No travel required

  • Possesses computer literacy skills, including proficiency with Microsoft tools, Box, Slack, project management tools, and event registration systems.
