Administrative Assistant (Part-Time)

Position Summary
The Administrative Assistant serves as the primary point of contact for our Church office, providing a welcoming presence to members and visitors. This role supports the Pastor and ministry teams by managing communications, coordinating church resources, and ensuring the efficient day-to-day operation of the church office in alignment with the mission of Christ United Methodist Church.

Hours:                        24 hours per week
Schedule:                  Monday - Thursday, 9:00 AM – 3:00 PM
 
Key Responsibilities

  • Office Reception:  Greet visitors, answer and direct phone calls, schedule and confirm appointments, and respond to general email inquiries with warmth and hospitality.   Schedules the main door access as well as the HVAC to correspond to church usage.  Monitors the locked main entrance and grants access to those entering.  Schedules maintenance on office equipment as necessary.
  • Communications:  Administer the office, prepare and distribute worship bulletins for services without audio visual technology, and email blasts. Update the Church website and/or social media pages.  Use software to prepare effective communication to the congregation regarding upcoming activities using outdoor and indoor signage and worship service communication.
  • Membership Records: Maintain the church database records, attendance, membership, and any other records as needed.
  • Calendar Management:  Coordinate the use of church facilities for ministries and community groups.  Acts as the liaison between Trustees and those using the building regarding maintenance needs.
  • Clerical Support:  Orders office and liturgical supplies.  Accurately types correspondence, documents, reports, forms and other materials.  Handles bulk email and postal mailings to communicate to congregation.
  • Confidentiality:   Handles sensitive information regarding prayer requests and pastoral care matters with the utmost discretion.
 
Qualifications
• Experience: Previous administrative or office management experience preferred.
• Technical Skills: Proficiency in Microsoft Office (Word, Publisher, Excel, PowerPoint) and an ability to learn church management software.
• Interpersonal Skills: A compassionate "people person" who can interact effectively with diverse groups of volunteers and community members.
• Alignment: While you do not need to be a member of the Christ UMC, a respect for our mission and the ability to work within the United Methodist tradition is essential.
• Organization: Excellent time-management skills and the ability to work independently.
 
Working Conditions
  • Environment: This is an on-site position based in the church office.
  • Background Check: A standard background check and "Safe Sanctuaries" training will be required.
  • Benefits:  This is a part-time position without benefits.  PTO and paid holidays are provided.
  • Compensation: Salaried position, $25,000 annually.
