Communications Administrator

The Communications Administrator works with Rainbow staff, volunteers, members, committees, boards, and wider community members and organizations to help us carry out our church vision and make communication and other congregational life logistics effective and efficient. This position supports and enables other staff members to fulfill their professional responsibilities. This position reports to the Lead Pastor.

Primary Responsibilities:

  • Answer, screen and direct incoming calls and mail for church staff and programs in a professional manner;

  • Screen church visitors and emails, directing them to other staff or agencies as necessary;

  • Create, edit and disseminate communication tools such as weekly congregational emails, printed Sunday bulletin and announcements, church brochures, mailboxes, bulletin boards, and others as requested;

  • Provide management of and monitor activity of website and other social media platforms for the church including Facebook and Instagram. Provide feedback to the Church Council or Pastor regarding problems or corrections needed to maintain social media in a fashion compatible with the church mission.

  • Manage paperwork and schedules with church occupants/ tenants to make sure their occupancy is satisfactory and Building Use policies are followed. 

  • Maintain the official church calendar for church and community functions and building/grounds use; 

  • Maintain, coordinate, and help promote use of facilities and grounds by outside groups under guidelines established by the Trustees and the Church Council. Provide administrative support to these groups as appropriate. 

  • Monitor and maintain office supplies inventory and keep the file cabinets, workroom, and office space organized;

  • Support church committees and Church Council by receiving, posting, and communicating information, as well as archiving meeting minutes per Archiving policies and procedures;

  • Provide basic HR support at the direction of the Lead Pastor, including recording and submitting bi-weekly payroll information (hours, overtime, accrued paid time off), recording bi-weekly payroll entries in Quickbooks, and ensuring completion of health insurance vendor paperwork; 

  • Complete employee background checks and other HR responsibilities with input from the Personnel Committee and Lead Pastor. Ensure security and confidentiality of data.

  • Assist in the coordination of memorial services or other special events, with direction from the Pastor and other church groups and committees;

  • Maintain a key log and know who has keys to the facility at all times;

  • Participate in other committees as requested by the Lead Pastor;

  • Provide necessary reports to appropriate committees/entities on monthly/annual basis;

  • Ensure that all vendor invoices received by the church office are forwarded to the Financial Administrator for payment processing;

  • Participate in and attend weekly staff meetings;

  • Maintain and coordinate updates to the church directory and membership records;

  • Assist with additional projects as directed by the Lead Pastor;

  • Coordinate with the janitorial/custodian service on special requests and schedule needs;

  • As time allows, assist the pastor(s) in processing Emergency Assistance/gift card requests per established policy

  • Assist Trustees and Maintenance Technician with maintenance records for the building, contacts of outside vendors/volunteers, and annual/seasonal maintenance checklists 

 

Technology

  • Ensure the regular upkeep and maintenance of internal church network and computer workstations, including selection and installation of new workstations and required software;

  • Assist with technology needs as requested and as time allows, such as projector needs;

 

Qualifications: 

  • Strong organizational and multitasking skills. 

  • Proficiency in Microsoft Office Suite (Word, Excel, etc.). 

  • Excellent written and verbal communication skills. 

  • Ability to work independently and as part of a team. 

  • Reasonable understanding of network and personal computer maintenance, website and social media management.

  • Attention to detail and accuracy. 

Education and Experience

Associates degree preferred or minimum of two years related work experience.

Salary Range: $21-23 per hour
