High Aspirations is hiring for a Full-Time Executive Administrative Assistant?
Full-time work is generally assumed to occur Monday through Friday between the hours of 8:00 a.m. and 5:00 p.m., with one hour lunch designated for lunch.
Mandatory work in the office, cannot work from home.
The office is closed and all regular staff will be paid for the following holidays:
New Year's Day, Martin Luther King's Birthday, Washington’s Birthday Day, Memorial Day, Juneteenth, Independence Day, Labor Day, Thanksgiving Day, Christmas Day
Length of Service Weeks of Vacation Accrual Rate (12 days in one year)
Salary Range $50k-$60k a year

Executive Administrative Assistant Job Purpose: Provides office services by implementing administrative systems, procedures, and policies, and monitoring administrative projects.
Qualifications BS Degree 3 years related experience
Top Priorities: This job is business related none relation to the program itself. You must be well written, organized, work with CEO to manage calendar, schedule board/committee meetings, correspond with the board on behalf of CEO, manage donors from CRM donor management system, send donor letters, basic bookkeeping/accounting, verbal communication, confidentiality, work with back-office support

Requirements: arrange travel, clerical, customer service, efficient, well organized, manage process and procedure filling, analyze information, ability to multitask with little supervision and excellent communication
Administrative Assistant Job Duties: · Work in person on site to assist President with calendar and takes notes as needed. · Maintains workflow by studying methods; implementing cost reductions; and developing reporting procedures. · Assist in drafting thank you letters & newsletters/edits as needed · Follow up on all assigned task · Create, revise systems, process and procedures by analyzing operating practices, record keeping systems, forms control, office layout, and budgetary and personnel requirements; implementing changes. · Develop business administrative volunteer staff by providing information, educational opportunities, and experiential growth opportunities. · Assist with all banquets and outreach functions · Assist president in putting together proposals · Research/track grants · Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions. · Assist with turn out/ follow up phone calls/filing/data base/background checks · Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques. · Provides information by answering questions and requests. · Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies. · Completes operational requirements by scheduling and assigning administrative projects; expediting work results. · Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies. · Contributes to team effort by accomplishing related results as needed. · Posses outstanding organizational skills
